The MaineIT Audio/Video (AV) Teleconference Team provides comprehensive audio and video communications support to the Executive Branch of Maine State Government. Our services focus on delivering efficient, reliable, secure, and easy-to-use AV teleconferencing solutions through thorough assessments, tailored equipment recommendations, professional installation, and ongoing support.

  • Installation Support: Complete installation services for small and medium-sized rooms. Limitations

  • Room Size: MaineIT provides direct installation services for small and medium-sized rooms. For larger rooms, installation services are managed through our AV mini-bid process to three vendors: Headlight, Connectivity Point, and ProAV.
  • Adoption of New Technologies: All new technologies introduced to the environment must be vetted by MaineIT's Architecture and Policy Group (A&P) to ensure safety, security and suitability, see the User Device and Commodity Application Policy.
  • Availability of Parts and Services: Supply chain constraints and vendor limitations may affect the availability of parts and services, potentially causing delays in ordering and installation.

  • Advanced Camera Systems: Options include auto-tracking capabilities and Pan-Tilt-Zoom (PTZ) cameras to enhance meeting experiences.
  • Custom AV Setups: Tailored configurations to meet specific needs and room sizes, ensuring optimal performance.
  • Portable Configurations: Systems designed for mobility to support flexible meeting locations.
  • Integration of New Technologies: Incorporating the latest AV technologies, subject to review and approval by MaineIT's Architecture and Policy Team (A&P Team), see the User Device and Commodity Application Policy.

Customer Expectations

  • Preparation: Departments must handle and fund any necessary wall mounting through their respective building control contacts and process.
  • Participation: Departments must provide room access and relevant information during the room assessment process.
  • Timely Communication: Prompt responses to scheduling and follow-up inquiries are expected to ensure smooth service delivery.
  • Equipment Handling: Departments should ensure proper care and use of the provided AV equipment by adhering to proper operating guidelines and instructions.
