NOTICE NOTICE

Please note with all the changes being made to the reporting/claiming procedure and the large amount of inaccurate data caused by incomplete claims, incomplete claims may not be allowed starting school year 2010 (July 1st, 2009) More then 20 districts are submitting incomplete claims. Most of them are the same ones every month. Please be aware the practice of submitting meal counts only, may not be accepted with the new changes. If this is a hardship, on occasion there may be a method to work it out.   This update requires that financial information is included in the original filing of the claim.  This will require School Units to adopt a method of communicating internally, for example what bills have been paid and what bills are unpaid.

If the claim is late it means a late reimbursement. Checks are only issued once a month for Child Nutrition Programs. Claims can not be submitted 60 days from the last da of the month per Federal Regulations.

 

REPORTS THAT ARE LATE OR MISSING INFORMATION

Late reporting is now a consideration when Federal Grants are being awarded. The State Agency must look at districts and their reporting history. This includes Yearly applications, monthly reports, verification, sanitation reports, grant reports and other Federal or State required reports. Incomplete reports/applications are not considered filed until they are complete. Monthly completed/approved claims are due by the 8th of each month. If all information is not on the claim it is not considered filed until it is complete. Districts for whatever reason that can not get the financial information in on time are considered late claims

Districts that do not have an approved Claims submitted

Please keep in mind the date for claims due is the 8th of each month as determined by State of Maine rule making. Claims that are 60 days or older form the last day of month claiming can not be processed in most cases In some cases permission can be given for a one time exception with cause.

 

 

Late paperwork does jeopardize future grants for districts. Only complete Claims and reports are consider not late.  Contact the Child Nutrition office with questions.  624-6875
