MEDMS Update August 2006

 

 

Staff Module

The Staff module will be online on September 5th for school year 2006-07 updates. Data entered last year will appear in the 2006-07 screens, but it must be verified for the current year. The Date Work Started field on the Staff SAU screen and the Annual Salary for this Position and the Funding Percentage of Salary fields on the Job Function screen will require new data.

·        New optional fields on Staff SAU screen:

o       Email Address - This will facilitate better communications with school staff.

o       Fax Number

·        Adult Education added to the drop down list in the “Level of Assignment” field on the Job Function page.

·        New field on Staff Personal screen for Number of Full Years Work Experience (non-education) in Major CTE/Vocational Education Subject Matter Area – required for CTE/Vocational teachers.

 

Due Date for Staff Updates: September 30, 2006

 

 

Student Module

The Student module is expected to go online for 2006-07 in mid-September. A subsequent MEDMS Update will announce the go live date and provide more detailed information.

 

Changes for 2006-07 include:

·        US Entry Date will be required for all LEP students. This will be used to determine if they need to be counted for AYP purposes.

·        A new field will be added for AYP Resident School. This is an AYP requirement to match out-of-district students with their sending school, not just their sending district. For students who are tuitioned to another school unit where there is no corresponding resident school at the same grade level (e.g., secondary students who live in a district that does not have a high school) their Resident School will be the Attending School. Acceptable upload values will be the four digit School_ID code of a school in the student’s resident SAU or the attending SAU.

·        The Fiscal Responsibility selection list will include a choice for MIE Tribal Member Agreement. This is for students who have their education paid by Maine Indian Education funding. The upload code for this option is the letter M.

·        The SAU FTE % selection list for Home School Education will include a choice for CTE/Vocational Education Only (home schooled students attending CTE/Vocational programs). The upload code for this option is the single digit number 6.

·        Student Name to be added to Enrollment Upload Results file to allow for easier identification of errors.

·        A new form will capture Graduation Year for 9th grade students. This will be separate from the student enrollment data and will not impact the upload file.

 

The Student Personal upload schema will not change. The Student Enrollment upload schema will be modified to include the AYP Resident School field and the added codes for Fiscal Responsibility and SAU FTE %.

 

 

MEDMS Financial System

 

The financial system is going through the pilot testing phase of the data collection processes. This includes transfers of data files from local financial systems through the FTP process and through local SIF (Schools Interoperability Framework) agents to the State zone integration server as well as manual data entry directly through the web interface. In September the testing will focus on the new system’s reporting capabilities. Access to the financial system will be directly through the MEDMS menu utilizing existing MEDMS usernames and passwords. The project is on schedule for deployment by the end of December 2006.

 

 

MEDMS Phase 1 Redesign

 

Work has begun to begin formulating plans to reengineer the MEDMS Phase 1 Student and Staff system. The MEDMS team along with the Data Management Team will be looking at developing the business requirements for a system that offers greater student enrollment and staff data collection capabilities including SIF compatibility with existing local student information systems.
