REQUIRED CODE REPORTS

 

At the request of school business officials, MDOE has developed required code reports for use by school administrative units in updating their charts of account.   These reports are tools to be used in conjunction with the model charts of account as posted on the MDOE Accounting Handbook website.   For purposes of these reports, “required” means those codes that will be used by MDOE for purposes of fiscal data collection in order to calculate state subsidy, calculate tuition rates, report to the Federal DOE for calculation of Title I allocation and fulfill constituent fiscal information requests.   The term “required codes” should not be interpreted to mean that a school administrative unit must book fiscal transactions under each of the line of codes, nor does it mean that the unit is limited to just these codes.   The required codes simply represent the level at which MDOE will collect and utilize fiscal data.

Please note:

  • Required general ledger codes have not been determined at this time.

  • Any revenue code utilized by a school administrative unit will be collected; please see the revenue code report for revenue codes and their definitions.  

  • Plan for now that all fund codes within a range will be collected.   For example, most units utilize multiple fund codes with the 200 range; in the future, it is possible that MDOE will assign specific fund codes to a specific grant and then only collect those assigned codes.
