Annual Agency Business Meetings

The Office of Information Technology (OIT) has begun a series of annual business meetings with senior management from the various agencies in Maine state government.  While this is a follow-up to the “listening tour” conducted in 2008, the specific purpose of these meetings is to continue the dialog of last year as well as to acquaint agencies with important improvements in IT services.  Specifically covered at the meetings are:

  • OIT organizational and personnel adjustments, including an explanation of the new roles (most notably the Technology Business Consultant and the Application Directors and Managers);
  • the development of a memorandum of agreement (MOA) between the agency and OIT.  Content of the MOA will include agency business functions and vision, agency IT budget for the biennium, IT contracts, and the agency short- and long-term needs for desktop IT services, application systems, and special needs;
  • performance metrics we currently use, and what measures the agency would like to see; and
  • IT issues that concern senior management of that agency.

 

As of the end of September, twelve (12) meetings have been held, with about a dozen more planned for the remainder of the fall.  The OIT team participating in the meetings consists of:

  • Dave Packard, Director of Technology Business Consultants and Service Management;
  • Dave Maxwell, Director of Client Technologies and Enterprise Operations Management;
  • the assigned Technology Business Consultant (Sheldon Bird, Karen Curtis, or Mark Kemmerle);
  • the assigned Application Director (Brian Guerrette, Art Henry, or Cindy Hopkins), and occasionally the Application Manager supporting a particular agency;
  • Eric Stout, IT Project manager, who is capturing action items.

The meetings have been well received and considered by all parties to be productive.  Dialog has been open and free-flowing.  Criticism, where warranted, has been constructive and praise, when deserved, has been conveyed.  Some agency-specific issues are being addressed on the spot or quickly after the meeting.  Other issues are being investigated for details.  All issues are cataloged in order to determine common themes and trends and action items are being tracked.
