Project Team Roles and Responsibilities

VSM Sponsors

  • Has primary oversight/responsibility of the team and project
  • Approves the selection of the VSM Manager
  • Communicates the relationship between project's goals and higher organizational goals
  • Participates in Chartering "symposium".
  • Meets with team prior to two-day VSM to:
    • Clarify charter
    • Review roles and responsibilities
    • Assess membership
  • Be a presence at VSM meetings to ensure that work is on track and to facilitate course corrections as needed
  • Facilitates team to apply learnings, asks good questions, provides positive feedback, removes obstacles, and provides enthusiastic support
  • Review metrics at regular intervals
  • Check in regularly with VSM Manager to ensure that the agreed to implementation plan is on track
  • Facilitates conflict negotiation at boundary interfaces
  • Communicates status with BTC Steering Committee 
  • Commits to learning and continuous improvements

VSM Managers (in addition to team member roles)

  • Attends all VSM meetings
  • Works with facilitator to set meeting agenda
  • Makes decisions during team meetings that facilitates forward movement
  • Coordinates meeting place, time, date and communicates info to team & caucus
  • Assigns responsibilities to task team members as appropriate
  • Keeps focus on implementation plan
    • Updates implementation plan as tasks are completed
    • Holds meetings either in-person, e-mail or phone with team members at regular intervals in order to facilitate completion of tasks on the implementation plan
  • Ensures all improvements made as a result of the VSM or Kaizens are recorded
  • Elevates issues, concerns, accomplishments to sponsor
  • Reports and communicates results to sponsor, team and caucus members and project team at regular intervals
    • Attends the three week VSM and Sponsor check-in with BTC project manager
  • Attends, participates, and influences the 6-week system checks (“The Fair”)
  • Coordinates between VSM team and facilitator
  • Ensures that notes are kept of all meetings and distributed to team and caucus members
  • Ensures that supplies are brought to each meeting
  • Models good meeting management

Data Manager

  • Participates in VSM Metrics training
  • Has ability to communicate understanding of metrics to team
  • Consistently uses standard templates and reporting forms
  • Documents assumptions in calculations so that team can easily “re-trace” their thinking
  • Calculates metrics as team works through the maps
  • Calculates summary metrics
  • Provides continuous improvement feedback to the BTC Data Manager (John Rioux)

VSM Team Members

  • Attend and actively participate in VSM Meetings including two-day VSM Kick-off
  • Takes responsibility for completion and follow-through of project work assignments
  • Develops, assesses and monitors metrics and implementation plan and makes adjustments as needed
  • Commits to learning and continuous improvement
  • Negotiates current workload and expectations with immediate supervisor
  • Engages in good meeting management norms and behaviors
  • tays informed of the VSM Team's progres

VSM Caucus Members

  • Serves as a resource and support to VSM team
  • Stays informed of the VSM Team's progress
  • Reads and provides feedback and input on distributed VSM materials/minutes
  • Participates in selected team meetings, if needed or interested
  • Other support as needed or requested by the team
