Bureau/Division Director’s Meeting

The following are points of interest that were discussed at the Bend the Curve portion of the Bureau/Division Director’s meeting on Wednesday, July 27, 2005:

 

  • Kim Smith distributed copies of the Bend the Curve Project Expenditures.
  • John Rioux distributed copies of a BTC Initiative Summary.
  • There is a new column added on the right for “Minutes Mapped.”
  • Discussion was held on the results found.
  • Michaela Loisel and Adam Fisher are working on a letter to all DOL employees that will provide an update on BTC.  (The BTC Initiative Summary will be attached to it.)
  • Penny Plourde suggested that the title of the Summary include the period covered (e.g., projected over three years).
  • Suggested putting a footnote on the bottom explaining the “0’s.”
  • Jane Gilbert suggested that short-term savings and long-term savings be mapped separately.
  • On empowerment and decision making VSM, they might take the lead on standardization; perhaps Kathy Singleton should get involved.  Arthur Davis will meet with Susan and Kathy on this.
  • The Outreach and Education VSM needs to be rechartered.
  • Regarding Job Order/Job Match, there will be savings in the Job Order, but savings in the Job Match was never a goal.
  • Discussed how to illustrate the FTE savings more accurately.
  • Penny Plourde requested that the letter to all DOL should also reflect that all Bureau Directors, Division Directors and Project Managers can explain the savings.
  • July 26 ELT:
    • Jane Gilbert felt that managers were jelling as a team.
    • Laura Boyett said it’s important for Bureau Directors to be present at BTC fairs.
    • Attendance was poor.
    • Jane Gilbert wants a subgroup to work on putting together the information that was obtained on the goals. Subgroup consists of Penny Plourde, Kim Smith, Arthur Davis, John Rioux, John Dorrer, and Jane Gilbert. (Product should be completed in time for the August 23 ELT.)
  • Michaela Loisel will try to move the August 31 BTC Fair to a different date, possibly August 30.  If the date cannot be changed, then we may keep the date and do a short managers’ meeting at the Fair.
  • Arthur Davis discussed certifying the continuous improvement practitioners.  The next major piece of training for practitioners needs to happen in October.
  • Jane announced that the Division of Administrative Hearings will be reporting to the Bureau of Unemployment Compensation.
  • Brainstorming New VSM Ideas:
    • Penny Plourde will check with Jill Duson on whether BRS has any new VSMs to add.
    • Rusty Cyr will check with Larinda Meade on whether BES has any new VSMs to add.
    • It was agreed that the technical VSMs that Steve suggested should happen after the Bureaus have done their VSMs on how they want it to look.
    • Kim Smith will send out any previous suggestions that were made to managers.

  • Because the Commissioner and Jane Gilbert will be away next week, the August 3 managers’ meeting is cancelled.
  • Jill Duson and Judy Williams are scheduled to do presentations at the August 17 meeting.  Arthur Davis will meet with them prior to that date.
