Days Closed Table

2008 marks the first year that Minerva member libraries will have direct access to edit the Days Closed table in Millennium. The Days Closed table is used to prevent items from falling due on days the library is closed, and to ensure that the system does not include days that the library is closed when calculating overdue fines or the number of days that an item can remain on the holdshelf. The system assumes that every location is open every day unless indicated otherwise in this table. The table includes entries for each library's locations which specify dates during the year and/or days of the week when that location will be closed. One person in each library within Minerva will be authorized to edit the Days Closed table.

 

Viewing the Days Closed table

To access the Days Closed table from within the circulation module, choose Admin | Parameters | Circulation | Days Closed. The Days Closed table appears as:

Entries in the location field correspond to item-record location codes used for a given library or branch.  The location code may be truncated using an asterisk to represent all locations that start with that string of characters (e.g., an* represents any location that begins with "an", such as and* or anl*).

Important: If the asterisk is not added, the location won't be recognized and so the date won't be recognized as a closed date. This is because the system is looking at locations in the item record and 3-letter codes are only used in bibliographic records.

Important: The system reads entries from the bottom up, so more generic entries should be located above more specific entries (i.e. entries such as an* should be located above entries for anl*).

 

Editing the Days Closed table

You may delete, insert, or edit only those lines in this table which are associated with your own location.  Start by scrolling down the list of entries to find the lines containing the two or three character truncated location codes for your library or location.

  • To change an existing line (if, for example, you are always closed the day after Thanksgiving, but the date changes each year) highlight the line and click the Edit icon. Alternatively, you may simply double click on that line to get to edit mode.
  • To delete a line (if, for example, after summer hours a library is now open on Sundays), highlight the line and click the Delete icon at the top of the screen.
  • To insert a line, highlight the line which will be below the new entry and click on the ‘Insert’ icon at the top of the screen.
  • Important: Keep your library's listings together and in order by date by using the "Insert" icon to add a new line above a highlighted line. Do not add out-of-order entries to the beginning or end of the table OR in between another libraries entries.

Ensure a correct location code is entered and then enter either a specific date that your library will be closed (in the format mm/dd) or a three character abbreviation for the day that the library will be closed each week (e.g. "tue", not "tues"). (Note: by using the format of mm/dd, e.g., 04/07 rather than 4/07, the table will be easier to scan since the date fields will be a uniform length.)  

Note that existing entries will contain the library name in the "Editable By" field, which ensures that everyone may edit definitions only for their own locations. This field will default to "ALL" for new definitions and can be changed only by InfoNet staff. Since new entries will not have edit protection by default, please be careful not to accidentally edit another library's definitions.

When entering dates, there is no way to specify a year. For example, if you key "01/06" into the table, the system assumes you mean the library will be closed on the next occurrence of January 6. There may be circumstances when you must wait to input a closed date to ensure the Days Closed table applies to the correct year.

In all cases, make the changes you require and choose the Save icon to ensure your changes are stored in the system.  When saving changes to the Days Closed table the system will display a "regenerating system table" message while it processes the change.  Be aware that this process will take as much as 5-10 minutes, and you will need to wait or launch a new Millennium window before you can do anything else.

Hours Open Table

For those libraries who use hourly checkout periods, there is another table which you may need to adjust peridoically, for example if the library closes earlier in the summer. Only libraries which currently use hourly checkout periods have one staff member with permission to access this table.

To access the Hours Open table from within the circulation module, choose Admin | Parameters | Circulation | Hours Open. The Hours Open table appears as:

The same general rules as in the Days Closed table apply here. Hours must be entered as 24-hour clock numbers (e.g., 1300 = 1:00pm).
