Adding an Original Record to Millennium by Copy Cataloging

When no matching record for material being cataloged is found in either Minerva or a remote Z39.50 database, the cataloger needs to create a new bib record. While there are several options available for creating a new record, the easiest choice is to go to Remote and find a record that is similar to or a close copy of the item to be cataloged. This technique is called copy cataloging. Perhaps the existing record is for a different edition, material type, etc. Such a record may be used as a base for a new record. You may make all the changes that you need to this record. When you save the new bib record the original remote record will not be altered.

Assume you have just received the new title by Laura Childs, Dragonwell Dead. There is no record for this title in Minerva or the remote Z39.50 databases. Select a good Z39.50 record for Blood Orange Brewing by this author and follow these basic steps.

  1. Check the book against the fixed field at the top of the record and make any needed changes. Add your 3 letter location code. Be sure the MAT TYPE agrees with your item.

  2. Make necessary changes to the MARC leader. In the example below the REC STAT should changed to "n" for new and the REC TYPE should agree with the kind of material being cataloged.

  3. Be sure to remove information that does not pertain to the item you are cataloging. This includes deleting 001 – 005 fields and 03x fields pertaining to the original record; making appropriate changes in any 006, 007 and 008 fixed fields and removing any 09x and 9xx fields. See the example below.

  4. Make all other changes as needed and save your work. The new record would appear as the example below.

  5. If you are cataloging a sound recording or video recording select a record for the same type of material and the 007 field will not need to be edited. If you use a record for a book to create a new record for a sound recording change MAT TYPE to match your item and insert the correct 007 field.
