How To Export from OCLC CatME to Minerva

Online Transfer Set Up

Configure the online export function of your CatME software using the instructions in the "CatME for Windows Software Configuration" section near the end of page 101521 of the online manual.  Minerva's IP address is 130.111.64.52.

Forcing Minerva to Create Item Records

Make sure that each bib record you edit contains a 949 "command field", plus one 949 item information field for each item record to be created.  Command fields have two blank indicators and a subfield |a that begins with an asterisk.  Item information fields have a blank as the first indicator and a "1" as the 2nd indicator.

If your library is a more recent member of Minerva and does not have a single-character Initials designation, you will also need to add a 929 field.

Examples are provided at the end of this page.

Item Information

Item information is carried in a 949 field with a blank first indicator and a second indicator of "1".  Correct use of indicators is essential to proper creation of item records.  Create a "949 1" field for each item you wish created in Minerva, and include all the subfields below that apply. Every item information field should have at least |a Call Number, |l Shelving Location, |t Item Type, and |i Barcode..

Item Information Carried in a 949 Field
Subfield Meaning Examples and Notes
|a call number |a630.123, |a511.231 B123a, |aHQ234 ABC (can optionally include book number if latter is not broken out into a separate |b)
|b call number |bB123a (Often contains the "book number" portion of a call number, if it is not included in a |a)
|c free text volume / part information |cv 2, |cVolume 5 Part 2
|g copy number |g3, |g2 (Only digits are allowed.  If not present, c. 1 is assumed)
|i barcode number |i31234123456789
|k call number post stamp |kStorage
|l location |labcst
|m message (automatically  displays to staff in circ, not in OPAC) |mSend to bindery after Jan 1, 2003 (This is a free text variable field, unlike |u item message below, which is a fixed field.)
|n item note (does not automatically display) |nJones Memorial Fund 7/1/02
|p price |p23.92
|q icode1 |q9999
|r icode2 |rz (don't contribute to Maine InfoNet yet), |zn (suppress from view in OPAC)
|s status |s- Available (default, doesn't need to be entered explicitly), |so (does not circulation, used for reference material)
|t item type |t1 Book, |t17 Serial, |t0 Audio Cassette, |t20 Videocassette, etc.  (see list)
|u item message |uc Includes CD, |ut Includes Cassette, |uk Junior Tape, |uf On the Fly (These are predefined values in the IMESSAGE fixed field. Note that |m Message above is a free text variable field)

Item Information

Most Common Fields included in a 949 Command Field:
Label Content Example
bn= bib location bn=tce, bn=tpl  (Always 3 characters)
b3= initials b3=z, b3=4 (Only for earlier Minerva participants for whom 1-character Initials values were defined.  Others use 929  |axyz value, where xyz is bib location.)
dflt= item defaults template name dflt=tceitm, tcebib  (This is optional, but allows one to take advantage of  defaults and omit some of the common item values such as |t Item Type.  If present, the dflt value must come first in the command field.

Note that the following elements carry over from item to item unless explicitly replaced:  loc, ty, pr, sta, i2.  If you are cataloging a significant number of the same type of item and wish to save typing, it may make sense to include some or all of these values in only the first record of a batch of records.  Note, though, that this only works if you will be exporting the records to Minerva in a single batch.
