MEDMS Update January 2007

Student Module – MEA Data Deadlines

All student-level data, including demographic and program data, will be supplied by MEDMS, so it is essential that schools keep their MEDMS data current. It is recommended that schools verify enrollment, demographic and program data during January 2007 by selecting “Download Data” from the MEDMS application menu and “Student Enrollments” from the action menu. Clicking “Submit” will offer the option to “Open” or “Save” the resulting spreadsheet. The spreadsheet will show enrolled and exited students.

MEA Label Data Due Date: MEDMS information as of January 31, 2007 will be used to print student identification labels for use on the MEA answer booklets.

MEA Reporting Data Due Date: MEDMS data as of March 26, 2007 will be the official data of record for all 2006–07 MEA assessment reports and AYP accountability determinations.

Please make sure that Grade Retained (Yes/No) is correctly checked. Last year some student information systems carried over the Yes from the previous school year resulting in incorrect data being uploaded to MEDMS. This can impact whether students are scheduled to participate in the MEA program.

Financial Module
The MEDMS Financial System is currently available for testing uploads of financial data files. A separate URL has been set up for business managers for testing. The production version will go live on March 1, 2007 to collect budget data for the 2007-2008 school year. Access to the production version of the financial system will be directly through the MEDMS menu utilizing existing MEDMS usernames and passwords. Authorized users will need to make sure that their email is included in the ‘Work Email Address’ field in the Staff SAU screen in order to receive upload confirmation emails directly from the system.
