Protecting Patient/Member Information: Password Protect

Protected Health Information (PHI) is any information about health status, health care, or payment for health care that can be linked to a specific individual. Please remember to password protect any PHI you send electronically to MaineCare. If you need to send an email, please include the PHI in a password protected Word or Excel document, as appropriate.

Please protect MaineCare members’ information by:

  • Password protecting all documents containing PHI

  • Not putting any PHI in the subject line of the email when sending PHI in a password protected or encrypted document

  • Sending passwords for the encrypted or secure documents separately

For instructions on how to password protect a document or Excel workbook, visit the Microsoft Office Support website. You can search “password protect a document” using the version of Microsoft Office you have in the search.
